C.A.S.T. for Kids Expense Reimbursement Guidelines
Per IRS Guidelines, all expenses incurred must be related to the C.A.S.T. for Kids Foundation purpose or mission. Our mission is to enrich the lives of children with special needs, support their families, and strengthen communities through fishing. Everything purchased with donations is property of the C.A.S.T. for Kids Foundation.
In addition to the fishing equipment and items ordered from C.A.S.T. for Kids through the Event Order Form, there will be other expenses that the event will incur. These expenses enhance the event and make it special, as well as benefit of all the participants and/or volunteers at the event.
The following is a list of allowable expenses – items that are commonly purchased for a C.A.S.T. for Kids event. We do strongly encourage you to obtain in-kind donations for any of these items when you can. These expenses can be reimbursed from the funds raised for your event – please see the Reimbursement & Check Request Process for instructions.
Note: The following is not an exhaustive list. Every event is different, with its own special touches and experiences for the kids. If you do not see an item listed below, please be sure to contact your Regional Director to discuss the item(s) and get approval prior to purchasing the item(s). In addition, if your expense exceeds $1000, it requires pre-approval from your Regional Director.

Allowable Expenses for a C.A.S.T. for Kids Event:
These items are related to our mission:
- Event Extras (on Event Order Form)
- Bait, tackle
- Food (for breakfast, lunch)
- Shelter for meal (tent rental)
- Permits/fees for event
- Photos (for the plaques)
- Life jackets
- Gifts for participants
- Items for on-shore activities (usually craft supplies)
- Reasonable gifts for volunteers
Non-Allowable Expenses for a C.A.S.T. for Kids event:
- Duplications of the items supplied as part of Event Fee (kids t-shirts, volunteer t-shirts, caps, tackle box, fishing rod combo, award plaques) or items offered as event extras on the order form. We don’t consider it a wise use of donor funding to use it for duplicate items.
- Award Plaques not from our supplier. We support the work of a young man with autism who makes all our plaques and medals for all C.A.S.T. for Kids events.
- Hotel rooms for volunteers
- Alcohol
- Boat cleaning after event
- Cash gift cards for volunteers
Again, these expenses need to be paid for by funds raised for the event. Thus you need to raise more than the Event Fee to pay for these items. Funds need to be received by C.A.S.T. for Kids prior to issuing reimbursements for expenses.
